How does the chatbot know the answers?
We use a technique called Retrieval Augmented Generation. The system searches your uploaded handbook for relevant text and passes that exact text to a language model to formulate the final answer.
Can it answer questions about employee specific benefits?
The bot only knows what is written in the general handbook documents you provide. It does not connect to individual payroll or HR systems like Gusto or Workday to look up personal data.
What happens if we update our handbook?
You upload the new version of the document to the administrative dashboard. The system indexes the new file and immediately begins using it as the source of truth for all future questions.
Where do employees interact with the bot?
We typically deploy the bot directly into Slack or Microsoft Teams. Employees can send a direct message to the bot or tag it in a designated HR channel to get their questions answered.
Will the bot make up new company policies?
The system is strictly prompted to only use the provided document text. If a question covers a topic not found in your handbook, the bot will state that it cannot find the answer and suggest contacting HR.
