The Challenge
Three Days for a Quote. No Visibility into Installed Equipment. A Dealer Network Running on Email.
TVD Industries manufactures industrial vacuum systems, dust collectors, material handling equipment, and conveyor systems for construction, mining, manufacturing, and municipal applications. Their product line spans portable units rated at 5HP with 500 CFM airflow all the way up to 100HP stationary systems pulling 6,000+ CFM with static pressures exceeding 25 inches of water gauge. Every machine is configurable: motor horsepower, CFM rating, filtration type (HEPA, cartridge, baghouse), voltage (208V, 480V, or 575V three-phase), mounting method (skid-mounted, trailer-mounted, or stationary installation), hopper capacity (ranging from 2 cubic yards to 20 cubic yards), discharge method (rotary airlock valve, pneumatic discharge, or bottom dump gate), and dozens of accessories from remote controls to explosion-proof ATEX-rated motors to cold weather packages with engine block heaters and hydraulic fluid warmers.
The quoting process was manual from start to finish. A prospect would call TVD sales team or fill out a contact form and describe what they needed. A sales engineer would then spend anywhere from 45 minutes to several hours building a quote. They would look up the base machine price in a spreadsheet that was updated quarterly (and frequently out of date), calculate accessory pricing from a separate PDF price list, check with the production team on lead times (which varied from 4 weeks for stock configurations to 16 weeks for custom builds), and then assemble a proposal in Microsoft Word using a template that had not been updated in three years. The average time from initial inquiry to delivered quote was three business days. For complex configurations requiring engineering review, it stretched to five or six days. TVD competitors were quoting in hours. Every day of delay was an opportunity for the prospect to find another vendor.
Service and maintenance was a black hole. TVD had no centralized record of installed equipment. When a customer called with a problem on a 75HP stationary vacuum system installed four years ago, the service team had to dig through filing cabinets for the original sales order to determine the machine serial number, configuration, and warranty status. Maintenance history lived in individual technician notebooks. Parts orders were placed by phone, and inventory was tracked in a spreadsheet that the warehouse manager updated when he remembered to. Customers had no way to check warranty status, view maintenance history, or order replacement parts without calling TVD directly and waiting for someone to find the information. The dealer network was worse. TVD managed 40+ dealers across the country, and all communication happened through email and phone calls. Dealers had no real-time visibility into what was in stock, what was in production, or what the current lead times were. They would call TVD, get put on hold, and eventually get a verbal answer that they would write on a sticky note. Lead routing did not exist; web leads sat in a shared inbox until someone decided to forward them to the right dealer, which sometimes took 48 hours. Co-op advertising funds went mostly unused because dealers did not know how much they had or how to submit claims.
The cost was not just inefficiency. It was lost deals. A three-day quote turnaround in an industry where competitors responded in hours meant TVD was the second or third quote on the prospect desk. Equipment downtime without a service portal meant customers called competitors for parts because it was faster than waiting for TVD to find the right filter bag in their filing system. A dealer network without inventory visibility meant dealers sold competitors equipment when TVD could not give them a straight answer on availability. The disconnected systems were not just slowing TVD down. They were actively pushing revenue to other manufacturers.
