The Challenge

Eight Newsletter Brands. Two Editors. Six Hours a Day Just Finding Content.

Inbox First Media operates eight niche newsletter brands, each targeting a distinct audience with distinct interests. Think of it as a media holding company where each title has its own editorial identity, visual language, and subscriber relationship. The brands span lifestyle, culture, design, science, food, and several other verticals. Each newsletter publishes two to five times per week. That is between 16 and 40 unique newsletter editions per week, each requiring fresh, relevant, on-brand content that subscribers actually want to read.

The editorial team consisted of two full-time editors and three freelance curators. Every morning, the editors would open dozens of browser tabs, scan RSS feeds, scroll through social platforms, check competitor newsletters, search news aggregators, and comb through bookmarked sources. For each brand, they needed to find 8-15 pieces of content that matched the brand niche, met quality standards, had not been featured recently, and could be framed in the brand editorial voice. The process took roughly 45 minutes per brand. Across eight brands, that is six hours of searching before anyone writes a single word of newsletter copy. The actual writing, formatting, scheduling, and quality checking added another four to five hours. A full publishing day consumed two people completely. Nothing else got done. No audience development. No partnership outreach. No new brand launches. No strategic work of any kind.

Quality was inconsistent. When the lead editor was out, the backup curator did not know every brand voice as intimately.
